DO's

  • Check In at the start of the meeting to allow people to be present in the room and become focussed on the process ahead. It also gives you insight into factors that might inhibit performance or team work;
  • Remain neutral: and if you need to give information from the manager's perspective, or respond to something, be clear that you are taking the facilitator's hat off;
  • Allow for spontaneity and connection: Make allowances for conversation that might be a bit off topic. Give people the space to laugh or bring up something on their minds;
  • Ask open ended questions;
  • Listen, listen and listen;
  • Reflect points that are unclear, complex, highly emotional or points you want to emphasize;
  • Keep members focused on the greater outcome without dismissing individual needs;
  • If something out of context recurs more than twice, take time to discuss it. Otherwise it may become the disturber in the project or team. The disturber is the issue that prevents people from getting on with the job at hand;
  • Play different roles if you need to shift power in the room.

Organizing Facilitation Meeting Training!

  • Make sure members understand purpose of the meeting and what they need to bring to it.
  • The room should either a space without a table, or ideally a round table so that members have equal placing.
  • Ask members what they need for the meeting.
  • Is it a long meeting? What about refreshments? Breaks?
  • Email the agenda beforehand, leaving time for suggested changes.
  • Start and end on time. It sets up habits and builds trust.
  • If possible, get members inputs beforehand. This is not necessary for every meeting but if the meeting involves emotional or personal investments, involving team member's from the start will prevent them feeling dismissed before the meeting has even started.
